GoHighLevel AI Employee: the setup checklist before you turn it on
Before switching on HighLevel's AI Employee, you need a written knowledge base (services, areas, hours, pricing rules, objections), a persona and scripts, explicit escalation rules for anything outside the knowledge base, live calendar wiring, compliance disclosures and consent, monthly spend caps, and a scripted real-call test cycle — most bad AI receptionist experiences trace back to skipping one of these.

Why AI receptionists fail
HighLevel reported more than a million calls answered by AI in December 2025 alone, so the technology is not the bottleneck. What fails is configuration: a thin knowledge base, no hand-off rule, no test calls, no cost monitoring. The agent invents a price, can’t book, or loops — and the owner concludes “AI doesn’t work”.
The checklist
1. Knowledge base. Services and what they cost (or the rule for quoting), service area by ZIP or radius, hours, what you don’t do, the five objections your best receptionist handles daily. Written, not implied.
2. Persona and scripts. How the agent introduces itself, how it discloses that it’s AI (required), tone, and the exact booking script.
3. Escalation rules. What triggers a transfer to a human, a callback request, or a message — and what the agent must never answer.
4. Calendar wiring. Live availability from the right calendar, buffer times, appointment types, confirmation and reminder sequence attached.
5. Compliance. Call recording notices where required, consent for follow-up texts, quiet hours, and HighLevel’s outbound Voice AI rules (KYC verification, disclaimers, 10 am–6 pm window, daily caps).
6. Cost controls. AI minutes are billed on usage — engine, text-to-speech, LLM and telephony components add up per minute. Set spend caps and alerts before go-live and estimate monthly cost from your call volume.
7. Testing. Scripted test calls covering booking, an out-of-scope question, an angry caller, a wrong number and an after-hours call. Read the transcripts. Fix. Repeat.
8. Monitoring. Weekly transcript review for the first month; a rule for who updates the knowledge base when something changes.
What it costs to run
HighLevel prices the AI Employee at $97 per sub-account for unlimited use (or a $50 Growth tier), with voice minutes billed separately for the phone leg. Budget for usage before you commit to “unlimited”.
